Representative of an On-Campus Student Association or Club –Information
If you represent an on-campus student association or club that meets a social need, and would like for your volunteers to be recognized for their contribution on their personalized Co-Curricular Record (CCR), you can partner with the Experiential Learning Service (ELS):
- The first step is to create an On-Campus Community Partner Account on our website. Once this account is created, you will have a username and a password to login and post the various volunteer placements or positions filled by your members.
- Make sure that you and your activities qualify:
- Your organization must be recognized by the Student Federation of the University of Ottawa (SFUO), or a valid university administrative body.
- Volunteer placements must be unpaid and cannot replace an otherwise paid position.
- Students need to complete at least 20 hours of service with your organization.
- Note: the person in charge of the account (usually the president) cannot be registered as a volunteer under this same account – contact the CGCS office for more information.
- When posting your placements, make sure to RESERVE them for your own volunteers (this option will be offered to you in the placement description form). This means that your placement will not be offered at large to the student population, but will be reserved for those students you identify as already being involved with your organization.
- Once the positions have been posted, you will need to ask your student volunteers or members to create their student account on our website. Once that is done, they can either apply for the placement online, or contact the CGCS office, who will match them to the right position.
- When students are matched, they are asked to keep track of their volunteer hours on their CCR Student Log Sheet, and to have it signed by their supervisor.
- When the volunteer work has been completed, or at the end of each semester (whichever comes first), the volunteers bring their Log Sheet to the CGCS office, where their volunteer hours are recorded in their account.
- The final step towards obtaining a CCR is the evaluation. Whenever students have their Log Sheets validated, the CGCS office contacts the supervisor to complete a very short evaluation form, which serves as a confirmation that the volunteer work has been completed in a satisfactory manner.
- Students are entitled to one free copy per year of their CCR, and additional copies can be obtained for $5 each. Students’ CCR profiles are held by the Experiential Learning Service for five years after they graduate. To see what the CCR looks like, click here.
